Attendance management system for India: GPS, biometric, shifts and labour-law compliance

A practical guide to picking an attendance management system for India - GPS clock-in, biometric integration, shift management, overtime calc and statutory compliance.

Attendance is the most boring problem in HR until it isn't - and then it becomes a labour-court summons, a payroll dispute or a churned engineering team. A modern attendance management system makes the boring case the only case.

This guide is written specifically for Indian businesses in 2026 - including factories, IT services, retail chains, hospitals and BPOs.

What attendance software actually needs to do

At a minimum:

  1. Capture clock-in / clock-out reliably across office, field and remote work
  2. Manage shifts and rosters, including night shifts and rotating patterns
  3. Calculate overtime, late marks and short leave automatically
  4. Apply leave & holiday policies without manual intervention
  5. Feed payroll every cycle with zero copy-paste
  6. Stay compliant with the Shops & Establishments Act and Factories Act
  7. Provide a clean audit trail for inspectors

Anything less and you are still doing attendance in Excel.

Capture modes: pick the right mix

ModeBest forWatch out for
Web clock-inDesk teams, remote workersProne to "buddy clocking" without IP / location guards
Mobile GPSField engineers, sales, driversBattery drain, geo-spoofing - need a real anti-spoof layer
Biometric (fingerprint, face)Factory floor, retail outletsHygiene & hardware lifecycle
RFID / smart cardManufacturing, secured campusesCard sharing
QR / kioskRetail, restaurants, educationSpeed at peak in/out

A mature system supports all of these and lets you set policy per location and per role - factory uses biometric, sales team uses GPS, head office uses web with IP whitelisting.

Shift management without the spreadsheet

Look for:

  • Multiple shift templates (general, night, split, rotational, weekly off patterns)
  • Drag-and-drop weekly / monthly rosters
  • Auto-assign by skill or rotation rule
  • Shift swap requests with manager approval
  • Overtime auto-calculation based on shift definition

This is where most "attendance" tools quietly fail. Confirm it works before you buy.

Overtime, late & short leave

The system should:

  • Calculate OT in 15 / 30-min slabs with daily and weekly caps
  • Support policy-driven late mark rules (3 lates = 1 leave, etc.)
  • Handle regularisation requests with multi-step approvals
  • Flag exceptions automatically (no clock-out, missed punches, anomalies)

India-specific compliance checklist

Tick all of these before choosing:

  • Configurable working week per state (Shops & Estab. Act)
  • 8-hour day, 48-hour week and overtime caps per Factories Act
  • Statutory leave types: EL, CL, SL, ML, paternity, comp-off, LOP
  • Public + state-wise holiday calendars
  • Form 11, 12, 14, 25 generation (Factories Act registers)
  • POSH compliance hooks (anonymous complaint channel, optional)
  • Audit logs that are tamper-evident and exportable

Integration with payroll

The reason attendance and payroll keep arguing is usually a missing data flow. Insist on:

  • Live "earned vs deducted" days computed from attendance + leave + holidays
  • Auto-calculation of LOP (loss of pay) days
  • Direct ingestion into the payroll run - no CSV gymnastics

Bonus: payroll should expose a payslip preview before the run is locked, so HR can sanity-check anomalies before the salary hits employee accounts.

How Nexora handles this

Nexora's attendance management system gives you GPS, biometric, shift management, overtime calc and India-statutory compliance, all in one workspace - already wired to payroll, leave and the employee directory.
